Check what the venue already provides
Before choosing equipment, ask which permanent restrooms will be open for setup, the ceremony, the reception, and breakdown. Count staff and vendors as well as guests. Explain the event hours and expected peak attendance to the rental team. A venue’s advertised capacity does not automatically establish the available restroom capacity for your specific program.
Choose named comforts
If you want a flushing toilet and an internal sink, specify both. A deluxe standalone unit can provide those features without the same setup requirements as a trailer. A trailer may add multiple stations, lighting, and climate control, depending on the model. Ask to confirm the offered equipment and its interior rather than reserving from the word “luxury” alone.
Make room for the whole arrangement
Discuss the approach, turning space, setup footprint, and service access with the venue. Confirm model-specific water and electrical connections. A trailer with stairs does not meet every guest’s access needs; choose appropriate accessible equipment and a usable route as part of the original plan. Think about lighting and the surface guests will cross after dark or rain.
Fit delivery into the vendor schedule
An empty site can become inaccessible once tents, catering vehicles, and guest parking arrive. Agree on a setup window with the rental team and venue. Assign someone to accept delivery and another contact if needed for collection. A weekend arrangement may extend beyond the reception itself, so confirm the period the equipment can remain onsite.
Keep the financial details with the event plan
Request a full written total covering the actual equipment, address, dates, service, utilities, and pickup. Historical event quotes are examples, not current offers. Save the approved cancellation rule: more than 24 hours before scheduled delivery allows a full refund; within 24 hours is nonrefundable. Contact the team directly and confirm receipt if plans change.
